These terms & conditions govern the relationship between Hidden Italia ("we", "us", "our") and you ("the client", "you") in relation to the provision of travel consultancy, planning, and booking services. By engaging our services, you agree to these Terms & Conditions.
1. About Hidden Italia
Hidden italia is a curated travel consultancy specialising in slow, cultural, and bespoke journeys throughout Italy. We operate as an independent travel consultant, designing personalised itineraries and facilitating bookings on behalf of our clients through trusted partners and suppliers.
Hidden Italia acts as an agent on behalf of its clients in arranging travel services and does not operate as a tour operator or principal unless explicitly stated in writing. Travel arrangements are provided by independent third-party suppliers.
2. Our services
Our services may include, but are not limited to:
- Bespoke itinerary design and consultation Accommodation, transport, and experience recommendations
- Booking of travel components through third-party suppliers
- Pre-travel planning and destination guidance
The exact scope of services will be confirmed in writing prior to commencement.
3. Consultancy fees & payments
- A planning or consultancy fee may apply depending on the complexity of the itinerary. This will be communicated in advance and is non-refundable once work has commenced.
- All prices quoted for travel arrangements are subject to availability and may change until confirmed and paid.
- Full payment terms, including deposits and balance due dates, are dictated by the individual suppliers and will be clearly outlined before booking.
Failure to meet payment deadlines may result in cancellation by the supplier, for which Hidden Italia cannot be held responsible
4. Bookings & supplier terms
- When you confirm a booking, you enter into a direct contract with the supplier (e.g. hotels, transport providers, tour operators).
- Each supplier has its own Terms & Conditions, including cancellation and amendment policies. These will apply in addition to these Terms.
- Hidden Italia is not responsible for any acts, omissions, or failures of third-party suppliers.
5. Changes, amendments & cancellations
- Any changes requested after confirmation may incur additional fees from both Hidden Italia and suppliers.
- Cancellation terms vary depending on the supplier and the timing of cancellation.
- Consultancy and planning fees are non-refundable.
We strongly recommend reviewing all supplier policies carefully before confirming bookings.
6. Travel insurance
Comprehensive travel insurance is mandatory and must be arranged at the time of booking.
Your insurance should cover, at minimum:
- Trip cancellation and curtailment
- Medical expenses and repatriation
- Personal belongings
- Activities included in your itinerary
Hidden Italia accepts no liability for losses that could have been covered by insurance.
7. Passports, visas & health requirements
- It is your responsibility to ensure that passports, visas, and travel documents are valid and meet entry requirements.
- You are responsible for complying with health, vaccination, and entry regulations for your destination.
Hidden italia is not liable for issues arising from incomplete or invalid documentation
8. Liability & responsibility
- As an independent travel consultant, Hidden Italia is not responsible for the performance of travel services provided by third-party suppliers.
- We are not liable for injury, loss, damage, delay, or inconvenience caused by suppliers or by circumstances beyond our reasonable control, including but not limited to weather conditions, strikes, pandemics, natural disasters, or government actions.
- Any claims relating to travel services must be pursued directly with the relevant supplier.
- Hidden Italia’s liability, where applicable, is limited to the amount of consultancy fees paid directly to Hidden Italia.
- Nothing in these Terms limits liability for death or personal injury caused by negligence where such limitation is prohibited by law.
9. Force majeure
Hidden Italia shall not be liable for failure to perform obligations where such failure is due to events beyond reasonable control, including but not limited to acts of God, war, civil unrest, epidemics, or travel disruptions.
10. Complaints & issues during travel
Any issues during travel should be reported immediately to the supplier concerned to allow for resolution on the spot.
If further assistance is required, you may contact Hidden Italia, and we will act in good faith to support resolution, though we cannot guarantee outcomes.
11. Data protection & privacy
Hidden Italia processes personal data in accordance with applicable data protection laws. Personal information is used solely for the purpose of arranging travel services and will only be shared with relevant suppliers.

12. Governing law
These terms & conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
13. Acceptance of terms
By confirming your booking or engaging Hidden Italia’s services, you acknowledge that you have read,
understood, and agreed to these terms & conditions.
